People Operations Specialist at SpotHero: 

We're seeking a People Ops Specialist to join our People team! In this role you will showcase your positive attitude, collaboration abilities, passion for HR, and desire to make SpotHero THE best place to work! Reporting directly to the Director of People Operations, you will support day-to-day operations, including new employee onboarding, HR administration, and compliance, fostering healthy workplace practices throughout every department.

What you’ll do:

  • People Operations 
    • Maintain accurate employee records and data ensuring compliance with policies and regulations
    • Enter employee information into HR systems such as employee personal/demographic information, title, supervisor, and pay. Be thorough in ensuring this information is always up to date and that changes are made timely. 
    • Coordinate employee leave administration. Work with managers and employees to ensure leaves are handled according to company guidelines and employment laws.
    • Coordinate employee offboarding process, exit interviews, and ensure timely communication and deactivation of systems as required. 
    • Handle employment verifications and unemployment and workers’ compensation claims. 
    • Become a SME at navigating and managing the HRIS system. 
    • Create and maintain up-to-date company organization charts on a monthly basis. 
    • Run and automate regular HR reports to understand metrics, and update/enhance the HR dashboard.
    • Provide general HR support to employees and managers, answering inquiries and resolving issues in a timely manner.
    • Lead projects established by other leaders of the People Leadership team including new hire onboarding sessions, executive reporting, internship/mentorship program.
    • Participate in continuous learning activities and in the assistance and training of others. 
    • Participate in additional People Team projects as needed.
  • Benefits & Wellness
    • Facilitate and streamline reporting for annual audit and governance of our North American benefits/401k/RRSP plans.
    • Timely and accurate completion of federal and state compliance surveys including but limited to 5500, ACA, etc.
    • Partner, automate and execute annual open enrollment for US employees ensuring cost remains within budget with the Director, People Operations.
    • Develop and implement wellness programs, initiatives, and activities to promote employee health and well-being such as mental health campaigns and fitness challenges.
    • Create and distribute Total Reward statements annually for all employees including health benefits and retirement costs.
  • Office Operations
    • Support team members in addressing and solving ad hoc needs and requests.
    • Use creativity to assist the People team in planning events that bring employees together to bond, have fun and enjoy each other’s company.
    • Work with SpotHero’s People Team to implement and promote company culture.
  • Recruiting & Onboarding
    • Work with the Senior Tech Talent Partner and our hiring managers to source, select, interview, and track applicants in multiple departments.
    • Efficiently and thoughtfully manage the schedules of candidates and interviewers with the goal of creating a positive candidate experience with every interaction.
    • Conduct candidate reference checks and facilitate the background checks process.
    • Set new hires up for success by coordinating the onboarding process and ensuring equipment, systems, and desk needs are met prior to start dates.
    • Own the employee onboarding process and program including communications, paperwork, orientation, and beyond.

What You Bring: 

  • Bachelor’s degree or HR Certification (SHRM-CP / PHR). All majors welcome! 
  • Minimum of 3 years experience in an HR or People Operations role that includes recruiting, onboarding, total rewards/benefits/wellness, leave administration, and/or HR reporting
  • Experience with HRIS systems and benefit providers (i.e. ADP Workforce Now, TeamPay, Fidelity, Lattice)
  • Knowledge of federal and state employment laws
  • Proficiency with a Google environment and Microsoft applications
  • Strong attention to detail and organizational and time management skills
  • Excellent interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Eagerness to contribute to and learn in a fast paced, dynamic environment
